Compliance does not fail because a carrier does not care. It fails because a med card expired in week nine of a busy quarter and nobody was watching that week. On Self-Managed, the platform is.
Send documents to your company’s intake address and the platform reads them, files them and watches every date in your driver qualification files under Part 391, telling you before anything lapses. We run your drug and alcohol program — a real random pool, with the draws, MRO review and MIS report handled. Your Clearinghouse queries stay yours to run, and so do the filings: file them yourself, or order each one from us when it comes due.

Everything in Self-Managed
Drug and alcohol program
We run the pool and the draws. Your Clearinghouse queries stay yours to run. When a driver is selected, you send them to the site.
DOT drug test — all six reasons(opens in a new tab)
Pre-employment, random, post-accident, reasonable suspicion, return-to-duty and follow-up. Ordered and scheduled in the portal at any hour — no call needed.
Supervisor reasonable-suspicion training (§ 382.603)(opens in a new tab)
Required by rule, and most small carriers do not know it.
Your safety records, monitored
Pulled from FMCSA’s feeds and watched around the clock. Some alerts start once you set them up — a commencement date, or turning on driver files.
TC Safety Index(opens in a new tab)
Our estimate, built on FMCSA’s published SMS methodology. Not official, and not affiliated with FMCSA.

Documents
Forward a document to your intake address and the platform reads it and files it with its dates. Keeping them coming is yours; the platform tells you what is missing.
Document vault — every record, stored digitally(opens in a new tab)
Driver files, medical cards, CDLs, inspection reports, insurance, permits, registrations — all of it in one searchable place, classified with its dates read. When an auditor says “show me,” it is a click, not a filing cabinet.
Email intake — forward documents to your company’s intake address
Forward a receipt, a medical card or a repair invoice from your email or any address you approve. It lands in the right driver’s or truck’s file, named and dated, and anything that expires goes on your calendar. A first email from a new sender waits for one click of approval. No app to install.
AI reads and files every document(opens in a new tab)
Medical card, CDL, MVR, inspection report, insurance certificate — recognized on sight, filed to the right driver or truck, expiry date read off the page. Nobody types anything.
Drivers
The roster and the driver files are yours to keep current. The platform flags anything missing and warns you before a date lapses.
Driver roster
Yours to keep current: add a driver the day they are hired, remove them the day they leave. Every file, query and random selection keys off this list.
Action Board
Everything that needs doing, in one list, in order — expiring, missing, overdue — with the fix one click away.
Driver qualification files (§ 391.51)(opens in a new tab)
The Part 391 file for every driver — application, MVR, medical certificate, CDL or road test, prior-employer checks — held on the platform, with any missing requirement flagged and the annual cycles tracked. You supply the documents.
Medical certificate and CDL expiry tracking(opens in a new tab)
Expiry dates read off the card and put on your calendar. You hear before it lapses, not after a roadside stop.
Driver hiring application(opens in a new tab)
The DOT employment application, completed online by the applicant, with the employment history the rule asks for — straight into their file.
Driver onboarding(opens in a new tab)
The hire sequence in order — application, pre-employment test, Clearinghouse query, MVR, medical card, CDL — nothing skipped, and the driver does not roll until it is done.
Annual driving-record review (§ 391.25)(opens in a new tab)
The yearly review of each driver’s driving record, tracked on schedule and kept in the file. You supply the motor vehicle record.
Vehicles
Your units and their records — registrations, maintenance, inspection reports — are yours to keep current. The platform tracks every date on them.
Vehicle records
Every unit on your MCS-150 — VIN, plate, registration and its expiry — kept on the platform by you.
Maintenance records(opens in a new tab)
Repairs and service logged against the unit, so the history is there when an inspector or an auditor asks.
Annual inspection tracking (§ 396.17)
The yearly inspection date for every unit, tracked, with the report filed to the unit. You hear before it lapses.
Accident register(opens in a new tab)
Every accident recorded as the rule defines it, with the post-accident testing it triggers.
Filings — order one, or file it yourself
When one comes due you get a reminder with two choices: order it from us at $79 plus the government fee, or file it yourself and mark it done. Nothing is ordered for you.
UCR registration(opens in a new tab)
Unified Carrier Registration for interstate carriers, filed each year before January 1. We verify your fleet-size bracket, file through the UCR Plan, and put the receipt in your vault. The registration fee passes through at cost.
Heavy vehicle use tax for units at 55,000 lb and up, e-filed with the IRS each year; the stamped Schedule 1 lands in your vault. The tax itself passes through at cost.
MCS-150 biennial update(opens in a new tab)
Your USDOT record updated on FMCSA’s two-year schedule, and again when your operation changes — then checked against the FMCSA record once it posts. No government fee.
Audits and support
There when you need it — audit help when an auditor calls, and a person by email.
Audit assistance, remote(opens in a new tab)
A New Entrant Safety Audit in your first year, or a compliance review later. We get your records in order and coach you through what the auditor will ask, off site. On Managed most of the records are already in order, so it is quicker. On Self-Managed and Essential we start without your records reviewed, so it is from $500.
Audit assistance, on site(opens in a new tab)
The same, with one of us in the room for the audit. Quoted per audit.
Training courses(opens in a new tab)
Driver and supervisor courses, assigned from the portal and tracked to completion. Every course, every driver, on Self-Managed and Managed. On Essential they are $39 and up at the storefront price, and consortium members pay a flat member rate.
Email support
Questions answered by email, by a person who can see your account — 7:00 AM to 8:00 PM Eastern, business days. Expect a slower reply over weekends and holidays; the portal itself never closes.
Government, state and IRS fees are passed through at cost and shown separately. We never mark them up.
Your consortium membership is included — $100 a year on its own for as many drivers as you run.
What you do. What we do.
Self-Managed is the software and the consortium. Here is where the line sits.
You run your compliance on our software. We run your drug and alcohol program.
What you do
- Keep your drivers, vehicles and documents current in the portal.
- Act on the alerts and renewal reminders before a date passes.
- Run your Clearinghouse queries through your FMCSA account.
- File your MCS-150, UCR and 2290 yourself, or order each one from us at $79 a filing plus the government fee.
- Send a selected driver to the collection site.
What we do
- Run your consortium membership: the random pool, the selections and the MIS report.
- Read and file every document sent to your intake address from you or a sender you approve, and watch every expiry date for you.
- Answer your questions by email.
Priced separately
IFTA, IRP and state mileage taxes are priced separately.
They depend on where you run and what you weigh. A carrier working one base state should not help pay for one running five, so these sit outside the plan and you buy only the ones that apply. We still handle them.
Add-ons, at member rates.
Charged only when you use them. Audit assistance starts higher than on Managed, because we start without having reviewed your records.

Common questions
How is my price worked out?
By the number of drivers you run, from 1 driver. Every driver bills at your band’s rate per driver per month: $20 at 1–4 drivers, $16 at 5–10 drivers, $15 at 11–20 drivers, $14 at 21–60 drivers. Cross into a larger band and the lower rate applies to the whole fleet. Your consortium membership is included.
How does email intake work?
Your company has one intake address. Forward documents to it from your own email or any address or domain you approve, and Document AI reads each one: what it is, whose it is, and the dates on it. It is filed to the right driver or truck, and anything that expires goes on your calendar. The first email from a new sender waits until someone on your account approves that sender — one click — and after that their documents file themselves. There is no app to install.
What happens when a filing comes due?
Before the deadline you get a reminder with two choices: order it from us at $79 plus the government fee, or tell us you filed it yourself. We never order a filing for you. On Managed, the MCS-150, UCR and 2290 are included and prepared for your approval.
Is the consortium really included?
Yes, and we run it. Your drivers go into our random pool, and we handle the draws, the selections, MRO review and the annual MIS report. Your Clearinghouse queries stay yours to run through your FMCSA account. On its own the membership is $100 a year.
What if I add drivers later?
Your price follows your fleet. We count your drivers on each billing day and bill on that count, so a driver you add shows up on your next invoice and one who leaves comes off it. A bigger fleet pays less per driver: $20 per driver per month at 1–4 drivers, $16 from 5.
Am I locked in?
No. Self-Managed is month to month: cancel any time, and it ends at the close of the month you are in. Your consortium membership comes with your plan and ends with it unless you renew it on its own ($100 a year), so your drivers stay in a random pool without a gap.
Can I move from Self-Managed to Managed later?
Yes. Once you run 5 or more drivers, apply for Managed. Your drivers, documents and history are already in the portal, so we start from your records rather than from scratch.
What happens when a driver is selected for a random test?
We notify you of the selection. You or the driver pick a collection site and a time through the scheduling link — at any hour, no call needed. The MRO review and the record are handled for you, and the result lands in your portal and in the driver’s file.
What about IFTA, IRP and state mileage taxes?
Those are a separate package, because they depend on where you run and what you weigh. We handle them, and you only pay for the ones that actually apply to your operation.
Is the Safety Index my official CSA score?
No. It is our estimate, built on FMCSA’s published methodology so you can see roughly where you stand between updates. FMCSA’s own numbers are the official ones.
Do I have to bundle?
No. Every service is still available on its own, and always will be. Plans exist because they are cheaper for most carriers, not because we make you take one.
Three ways in, one portal.
Every plan runs on the same platform. What changes is how much of the work is ours.
