Compliance does not fail because a carrier does not care. It fails because a med card expired in week nine of a busy quarter and nobody was watching that week. Managed means we are.
Driver qualification files stay current under Part 391. Drivers sit in a real random pool, with Clearinghouse queries run on schedule. MCS-150, UCR and 2290 get filed when they come due. And every one of those obligations is visible in your portal while it is open — you can see what we are doing, which is the part a filing bureau cannot show you.
Managed DOT compliance, priced by fleet size.
Essential ships free with any consortium membership. Managed is the operating plan. Plus adds the mock audit, the training catalogue, and a person to call. The price follows you down the list.
Priced on 1 unit, whichever number is higher. Filings follow trucks; driver files follow drivers.
Managed rate, per unit, per month. Every unit bills at your band’s rate, so the drop applies to the whole fleet. Tap a band to price its smallest fleet.

Documents
Send documents in and the platform files them with their dates read. Keeping them coming is yours; we review what is on file and tell you what is missing.
Document vault — every record, stored digitally(opens in a new tab)
Driver files, medical cards, CDLs, inspection reports, insurance, permits, registrations — all of it in one searchable place, classified with its dates read. When an auditor says “show me,” it is a click, not a filing cabinet.
Email intake — send any document from anywhere, no login
Forward a receipt, a medical card, a repair invoice from your phone. It lands in the right driver’s or truck’s file, named and dated, and anything that expires goes on your calendar. No app to install, nothing to sign in to.
AI reads and files every document(opens in a new tab)
Medical card, CDL, MVR, inspection report, insurance certificate — recognised on sight, filed to the right driver or truck, expiry date read off the page. Nobody types anything.
Drivers
The roster and the driver files are yours to keep current on the platform. We review them quarterly on Managed and monthly on Plus, and tell you what is missing, expiring or wrong.
Driver roster
Yours to keep current: add a driver the day they are hired, remove them the day they leave. Every file, query and random selection keys off this list.
Action Board
Everything that needs doing, in one list, in order — expiring, missing, overdue — with the fix one click away.
Driver qualification files (§ 391.51)(opens in a new tab)
The Part 391 file for every driver — application, MVR, medical certificate, CDL or road test, prior-employer checks — held on the platform, with any missing requirement flagged and the annual cycles run on schedule. You supply the documents.
Elsewhere $240 a driver a yearMedical certificate and CDL expiry tracking(opens in a new tab)
Expiry dates read off the card and put on your calendar. You hear before it lapses, not after a roadside stop.
Driver hiring application(opens in a new tab)
The DOT employment application, completed online by the applicant, with the employment history the rule asks for — straight into their file.
Driver onboarding(opens in a new tab)
The hire sequence in order — application, pre-employment test, Clearinghouse query, MVR, medical card, CDL — nothing skipped, and the driver does not roll until it is done.
Pulled on request at hire and each year. State fee passes through at cost.
Annual MVR review (§ 391.25)(opens in a new tab)
Every driver’s record pulled and reviewed once a year, the review kept in the file. The review is included; the pull is billed at the add-on rate.
Certificate of violations (§ 391.27)(opens in a new tab)
Each driver’s annual signed statement of violations, collected and kept with the file.
Vehicles
Your units and their records — registrations, maintenance, inspection reports — are yours to keep current on the platform. They are reviewed alongside everything else.
Vehicle records
Every unit on your MCS-150 — VIN, plate, registration and its expiry — kept on the platform by you.
Maintenance records(opens in a new tab)
Repairs and service logged against the unit, so the history is there when an inspector or an auditor asks.
Annual inspection tracking (§ 396.17)
The yearly inspection date for every unit, tracked, with the report filed to the unit. You hear before it lapses.
Accident register(opens in a new tab)
Every accident recorded as the rule defines it, with the post-accident testing it triggers.

Audits and support

We go through your driver files, vehicle records and documents and tell you what is missing, expiring or wrong — so you hear it from us, not from an auditor.

Run one any morning. Every finding comes back with the fix attached.
Audit assistance, remote(opens in a new tab)
A New Entrant Safety Audit in your first year, or a compliance review later. We get your records in order and coach you through what the auditor will ask, off site. On Managed most of the records are already in order, so it is quicker. On Essential we start without your records, so it is from $500.

The same, with one of us in the room for the audit. Quoted per audit.

Government, state and IRS fees are passed through at cost and shown separately. We never mark them up.
Essential comes free with a consortium membership, which is $100 a year on its own for as many drivers as you run.
Priced separately
IFTA, IRP and state mileage taxes are priced separately.
They depend on where you run and what you weigh. A carrier working one base state should not help pay for one running five, so these sit outside the plan and you buy only the ones that apply. We still handle them.

Common questions
How is my price worked out?
By whichever is higher — your power units or your drivers. Filings scale with trucks; driver files scale with drivers. One number covers both, and every unit bills at your band’s monthly rate, so the rate falls for the whole fleet as you grow.
What counts as a truck?
Power units on your MCS-150. Trailers do not count.
What if I add trucks or drivers later?
Your price follows your fleet. We count power units and drivers each month and bill on whichever is higher, so four trucks added in month two land on month three’s invoice — not next year’s. It works the same way when you shrink. And because every unit bills at your band’s rate, growing often costs less than you would expect: 7 units is $154 a month, 8 units is $144.
Am I locked in?
No. We bill monthly and there is no contract — your fleet changes, so your price should too. Stop whenever you like; you are billed for the month you are in.
What do I have to do on Managed?
Keep your records current on the platform — that part stays yours. Add a driver the day you hire them and remove them the day they leave, send their documents in as they arrive, and do the same for your trucks and their inspection and maintenance records. Beyond that: send a driver to the collection site when they are selected, and approve each filing and its government fee when we ask. What Managed adds is that we run your drug and alcohol program, file your MCS-150, UCR and 2290, and review your files and records — quarterly on Managed, monthly on Plus — so you hear what is missing from us rather than from an auditor.
Do I have to bundle?
No. Every service is still available on its own, and always will be. Plans exist because they are cheaper for most carriers, not because we make you take one.
What about IFTA, IRP and state mileage taxes?
Those are a separate package, because they depend on where you run and what you weigh. We handle them, and you only pay for the ones that actually apply to your operation.
Is the Safety Index my official CSA score?
No. It is our estimate, built on FMCSA’s published methodology so you can see roughly where you stand between updates. FMCSA’s own numbers are the official ones.
What happens when a driver is selected for a random test?
We notify you, schedule the collection at a facility near the driver, and handle the MRO review and the record. The result lands in your portal and in the driver’s file.
Book a compliance review.
We will pull your record while you are on the phone, tell you what is already out of date, and say plainly which parts of this you need and which you can skip. If Essential is all you want, that is a fine answer.
